Big property management firms run enterprise work order platforms with dashboards, SLAs, and integrations. If you manage a handful of buildings, you do not need any of that. You need three things: a single intake channel, a written record of every request, and proof of completion you can show an owner or a tenant.

A system that fits a small portfolio

  • One intake channel. Every request lands in the same inbox or form, never in a text thread you will lose
  • A number and a status for every job. Requested, quoted, scheduled, done
  • Photos before and after. They settle disputes before they start
  • A closeout summary. What was done, what it cost, what to watch

Whether that lives in a spreadsheet or a lightweight app matters less than the habit. What matters is that nothing gets requested verbally and completed invisibly.

This is also the standard you should hold vendors to. A maintenance partner that documents every job from request to closeout is doing half of your record keeping for you.
